Each chaperone photographs their own group of six and sees nothing of the others. When all of them upload to the class code, the teacher has the whole day and every child, and the parent at home who wanted to chaperone but could not get the day off sees their child at the penguin tank anyway.

Create the trip as the class, with host review on. If the grade takes several classes, make one event with a sub-event per class so each teacher reviews their own.
Print the QR code on the chaperone information sheet and the group lists. Chaperones scan it at the morning briefing before the bus leaves.

Getting the most from field trips
Brief the chaperones at the bus, not by email. Show them the QR code, have them scan it while they are standing in front of you, and give them three rules: wide shots of the group, no other schools' children in frame, upload when you sit down for lunch and again on the bus. A chaperone who has scanned the code once will upload; one who received a link in an email the night before will not find it at the zoo. Hand the same sheet to the teacher on the other bus. Six chaperones uploading twenty photos each is a complete record of the day.
Keep the consent list on your phone and review before the bus is back. A field trip is one of the few school days where photos are taken by adults who are not staff, so the teacher's review is what makes the gallery fit to send home. Host review takes a few minutes: approve the wide shots, remove any photo showing a child on the opt-out list, and flag anything that shows another school's students or a stranger's child at the exhibit. Then send the link to enrolled families from the bus and the day arrives home before the students do.
Give parents at home a reason to open it during the day. A note in the morning that says the gallery will update at lunch and after the bus leaves sets an expectation, and the teacher approving at lunch keeps it. For a multi-day trip, add a sub-event per day so the second morning is not buried under the first. Use the guestbook question for the trip report, and at the end of the year the class's field trips are already a slideshow. The delay is only as long as it takes the teacher to review, which most do once at lunch and once on the way home, so families see the day before the bus pulls in.
Do chaperones need to install anything or sign up?
No. Chaperones scan the QR code at the morning briefing, the upload page opens in their phone's browser, and they choose photos or take them in place. There is no app, no account and nothing to remember, and iPhone HEIC photos upload without conversion. Videos of the sea lion show upload the same way. The only instruction that matters is to upload during the day rather than at home that night, so the teacher can review and families can see it while the students are still out.
The whole grade is going. One event per class or one for the grade?
One event for the grade with a sub-event per class, if the teachers are happy to share a login, or one event per class if each teacher wants to review their own uploads and send their own link. Sub-events keep one code on the chaperone sheet and one archive for the grade; separate events keep review and privacy entirely within a class. Either way, a family receives only the link for their child's class, and the school downloads originals for the newsletter from wherever they live.
How much does a field trip gallery cost?
