Getting the most from awards galas

Show the QR code on the screens between categories, not during them. The moment a winner's name is read, their table stands up and starts filming, and that footage is exactly what you want, but the code needs to have been seen earlier so people know where to send it. A single slide with the code and a one-line instruction, shown for the thirty seconds while the next presenter walks up, is enough. Repeat it after the halfway break, when new people have arrived and the early tables have forgotten. The MC mentioning it once out loud before the first category is worth more than any card on the table.

Assign someone to the approval queue who is not you, and brief them on what to reject. At a gala the rejects are rarely inappropriate; they are blurry, they are the back of a head, or they show a sponsor's competitor logo on a lanyard. Approving on a phone between categories takes a minute per category. Do it during the event so the gallery on the screens fills up in real time, which is what makes the tables that have not uploaded yet start uploading. Leave the queue open until the last song and finish it in the morning.

Send the sponsors' photos before they ask. The morning after, filter the approved gallery for the frames with each sponsor's branding, download the originals and send each sponsor their own short set with the full gallery link. That is the report that gets them to renew. Send winners the gallery link at the same time, because the photos their colleagues took from the table are the ones they will post. The seating chart and check-in also give you an accurate attendance count for the sponsors without anyone tallying wristbands. Keep the gallery link in the event wrap-up email so the finance team and the board see the room too.

Common questions about awards galas

Can guests look up their table without a seating board at the door?

Yes. Import the guest list, build the seating chart with tables and seats, and each guest sees their assignment from the personal invite link you send them. They can check it in the taxi rather than at a board with three hundred names on it. The guest list, RSVPs, seating and door check-in are all in the same place, so when a plus-one turns up unannounced you update the table from your phone and they see it straight away. The photo QR code can be the same code on the table card.

How do we get good photos of each winner on stage?

You get them from the tables, not only from the pit. The photographer at the foot of the stage gets the handshake and the trophy; the winner's own table gets the walk up, the reaction, and the colleagues on their feet, which is the photo the winner actually wants. Make sure the code has been shown on screen before the first category and again after the break, and every table becomes a second camera. Video uploads are included too, so a colleague filming the acceptance speech can send the clip straight to the gallery.

Can guests request songs for the after-party?

They can, from the same page they upload photos to. Song requests sit in a queue the host and the DJ can see, and the DJ plays what the room is asking for instead of guessing. Keep requests off during the ceremony so the band and the awards are not competing with a queue, then open them when the after-party starts. A room that has spent three hours sitting still is very willing to type in a song, and it gets the guests who did not upload a photo onto the page anyway.

Is the gallery private, and what do the sponsors see?

The gallery is private by default, reachable only by the link or code you share, and blocked from search engines and AI crawlers. With host review on, uploads wait for your approval before anyone sees them, so the gallery you send sponsors is the one you have checked.
