Getting the most from dealership events
Put the card where the photo already happens, not at reception. Delivery photos are taken in the same spot every time: beside the car, in front of the showroom sign, or under the bow. Tape the code to the delivery bay pillar and to the back of the folder the salesperson hands over. The upload takes less time than airdropping the photo to the customer, and it means the customer's own photos land in the gallery too, which are usually better than the ones the salesperson took because the customer is not the one holding the keys.
Ask the customer to upload before they drive off, while the salesperson is still standing there. The moment a customer leaves the lot, the chance of getting their photos drops to almost nothing; the moment before, it is close to certain. Make it part of the handover script: keys, paperwork, photo, scan. The welcome message on the upload page can say exactly what happens next, which is that the dealership will send them the photo and would love a review.
Keep the standing event private and use it as the archive, not the customer-facing gallery. Every delivery in one gallery is right for the office and wrong for a customer, who should only see their own car. Should every customer delivery go in one event, or one event per customer?
For most dealerships, one standing event for the year is the right call. It is the dealership's archive: every delivery photo, approved by the office, downloadable at full resolution, kept for 365 days on one Event Pass. Keep it private and send each customer their own photo. If the customer-facing experience matters more, for a luxury store or a handover the customer will want to share widely, create one event per customer so their gallery contains only their car.
