The class group chat is the wrong place for this
A school event is the one occasion where most of the people in the photographs did not choose to be there and cannot consent for themselves. That changes what the tool has to do.
A photo in a group chat cannot be taken back
Once it is sent it is on forty phones, and the family who asked not to have their child photographed has nowhere to appeal. In a gallery a photo can be hidden or deleted, and it stops being visible to everyone at once.
Nobody knows who posted what
A screenshot circulating a week later has no author. Every upload here carries the name the parent gave when they joined, so a question about a photo has someone to ask.
The chat compresses exactly what the yearbook needs
The newsletter and the yearbook need full-resolution files. A chat app hands you a heavily compressed copy of the best photo anyone took that day.
A forwarded link has no door on it
Picsui galleries carry a no-index instruction, so they do not turn up in search results, and you can put a passcode on the gallery so a forwarded link on its own is not enough to get in.
Controls a school actually needs
Not a party gallery with a school theme. These are switches on the event, set before a single parent scans anything.
Nothing appears until you approve it
Turn approval on and every upload lands in a review queue instead of the gallery. Parents still upload normally; you approve from a list on your phone, with the number waiting shown on the tab. The slideshow on the hall projector only ever shows approved photos.
Automatic screening that never overrules you
On a paid pass every photo is screened automatically and anything questionable is annotated for your queue. When you have asked for approval, the automation is not allowed to publish anything on its own — the school's decision always wins.
Private, unindexed, and closed if you want it closed
Galleries are never listed by search engines. Add a passcode if the link alone should not be enough, and switch guest downloading off so parents can look without collecting each other's photos.
A name on every photo
The school setup asks a parent for their name and email before they upload, plus their child's grade or class. Every photo in the gallery is attributed, and the class question tells you which year group a picture came from.
Takedowns in seconds, by you or by a parent
Hide or delete any photo from the event's Photos tab and it leaves the gallery and the slideshow at once. Parents can also flag a photo from the gallery with a reason; three flags hide it automatically and put it in front of you.
Originals for the yearbook
Unlimited photos and short clips from every family, kept at the resolution they were taken and downloadable as one archive when the day is over. Fair use: 25 GB of media per event.
The school setup is already built
You do not have to know which switches matter. Choosing the Education / School setup when you create the event turns approval on, asks every parent for a name and an email, and adds a Grade / Class question to the upload form, so photos arrive labelled by year group. Prom and Recital setups are there too and default to approval on for the same reason: the guests are photographing other people's children. The guest pages themselves are available in English, Español, Français, and follow whichever of those a parent's phone asks for.
What schools use it for
Concerts, plays and recitals
The parent in row nine has the shot the parent in row one missed. Video clips of up to 30 seconds catch the solo, and the review queue means a photo taken in the wings never goes up by accident.
Sports day and field day
Six events running at once and no member of staff free to photograph any of them. Parents cover the whole field between them, and the school ends the afternoon with pictures of every year group rather than of one race.
School fairs and fundraisers
A code on the table signs, the raffle board and the volunteer rota. What comes back is the material for next year's poster and for the thank-you letter to everyone who gave.
Graduation, prom and leavers' day
The person you came for is fifty metres away and behind a hundred heads. Everyone's angle goes into one album, so the family who only got the back of a gown still gets the photo of the handshake.
Class trips and residentials
Staff photograph all week and parents at home see nothing until Friday. Set the end date to the last day of the trip: uploads stay open the whole time, and the gallery goes home with the coach.
Open days and new-intake mornings
A gallery for visiting families that closes when the day does, with approval on, so the school controls exactly which pictures of current pupils a prospective parent sees.
How it works
Pick the school setup
Creating the event offers a ready-made Education / School setup: approval switched on, a name and email asked for, and a Grade / Class question added to the upload form. Prom, Recital and Graduation setups are there too.
Put the code where parents already look
One QR code on the programme, the hall doors, the newsletter and the class group. There is nothing for a parent to install and no password to hand out at the door.
Review during the interval, not at midnight
Pending uploads collect in the event's review queue with a count beside it. Approve the good ones, leave the rest, and only approved photos ever reach the gallery or the projector.
Download it for the yearbook, then let it close
Take the whole archive in original quality whenever you like. The gallery is hosted for 12 months; you are warned 30 days and again 7 days before it expires, and the photos are then deleted from storage rather than kept indefinitely.
What Picsui does not do
Picsui does not hold your photo-permission list and cannot tell you whether the child in a picture belongs to a family who opted out. There is no per-child tagging and no face search. The safeguarding judgement is a human one and it stays with the school; what we provide is the gate in front of it — approval before publication, a named uploader, an instant takedown, a private and unindexed gallery, and a fixed end date after which the photos are deleted.

For the grandparent who cannot get to the hall
Live Pass adds a private live broadcast to the same event for $39: one link, any browser, no app, up to 90 minutes and 100 people watching at once. It is sold as a live broadcast only — a recording afterwards is not part of the product — so the gallery is what the school keeps. How the broadcast works.
Questions schools and PTAs ask
Does Picsui handle our photo-permission or media-release list?
No, and we will not pretend otherwise. Picsui does not store which pupils have consent on file and cannot check a photo against that list. What it gives you is the mechanism your policy needs: nothing is published until someone at the school approves it, every upload is attributed to a named parent, any photo can be hidden or deleted at once, and the gallery is private and unindexed. The judgement stays with the school; the enforcement is ours.
A parent has asked for a photo of their child to be removed. How quickly can we do that?
Immediately. Hiding a photo from the event's Photos tab removes it from the gallery and from the live slideshow straight away. Deleting it removes the file itself from storage on the next cleanup run. Neither needs an email to us, and neither depends on the parent who uploaded it.
Can parents flag a photo themselves?
Yes. Any guest can report a photo from the gallery with a reason. Three reports hide the photo automatically and mark it for your review, so an obvious problem does not have to wait for a volunteer to check their phone.
Do parents need an app or an account?
No app and no password. The QR code opens a web page in the phone's browser. On the school setup a parent gives their name and email and their child's class before uploading, which is what makes every photo attributable — a deliberate difference from our party events, where a guest can stay anonymous.
Can we stop parents downloading each other's photos?
Yes. Guest downloading is a switch on the event: turn it off and parents can browse the gallery but not take the files. The school's own download of everything in original quality is unaffected.
How long are the photos kept, and who has them?
An Event Pass hosts the gallery for 12 months. You are emailed 30 days and again 7 days before it expires, and after that the photos are deleted from storage. Download the archive once so a copy lives with the school and not only with us. You can also delete the event yourself at any point before then.
What does a school event cost?
An Event Pass is $29, paid once for one event, with no subscription and nothing to renew. It covers unlimited guest photos and videos, approval, automatic screening, the live slideshow and the full-resolution download. The free preview is for trying the guest experience rather than running a real event: it shows the first 60 uploads, locks the gallery a week after the event, and does not include approval or a gallery passcode.
Can family who cannot attend watch the concert?
Live Pass adds a private live broadcast for $39: one link, any browser, up to 90 minutes and 100 people watching at the same time. A recording afterwards is not part of what we sell, so treat the broadcast as live only and let the photo gallery be the thing that lasts.
Do the upload pages work for families who do not read English?
The guest-facing pages are available in English, Español, Français, and follow the language the parent's own phone asks for. The school's own dashboard is in English.
We are a district, not one PTA. Can you answer a procurement questionnaire?
That is a conversation rather than a checkout. Corporate starts at $299 per event and exists for exactly this: requirements agreed in writing before purchase, approval-first moderation, organisation branding, documented retention and security answers, and a named support contact.
