Getting the most from networking mixers

Make the directory the first thing you mention, not the photos. People at a mixer will scan a code that helps them meet someone; they are less motivated to scan one that helps the organiser. Put the welcome sign at the exact point where people pick up their name badge, with one line: scan to see who is here and book a coffee. Once they are on the page, the photo upload is right there and they use it. Ask the sponsor, in their two minutes at the microphone, to point at the sign; a sponsor's ask lands better than the organiser's.

Check people in from your phone rather than a laptop at a table, because the door of a mixer moves, and whoever is holding the check-in should be shaking hands, not typing. The personal invite links mean an arrival is one tap, and a walk-in is a name added on the spot. At the end you have an accurate count of attendees against RSVPs, which is the number your board and your sponsor both ask for. Mark first-timers in the guest list before the event, and go and find them; the directory helps, but a human introduction is what gets them back next month.

Send the follow-up the next morning, with the gallery link and a reminder that the directory is still open for contact exchanges. The half-life of a mixer introduction is short, and the message that arrives while people still remember the conversation is the one that converts to a meeting.
