Getting the most from rec league championships
Send the link through the team captains, not to the whole league. Every rec league runs on captains, and each of them already has a group chat with their roster and, for youth leagues, with the parents. One message from the commissioner to the captains the morning of the final, with the link and the words "forward this to your team", reaches every family through the channel they already read. Print the code as well for the people in the stands who came with someone, and put one on the trophy table where every winner will stand for a photo.
Ask the runner-up to upload too. The team that comes second has the most photos of the final and the least reason to share them, and if the gallery only has the champions in it, half the league will not open it. Say in the pre-game announcement that the gallery is for the whole league, put the code on both benches, and make sure the handshake line and the runner-up plaque are in the moments you highlight. A league whose gallery every team appears in is a league people re-register for.
For a youth league, keep host review on and the gallery private, and let the parents know that is the case before they upload. Parents send far more when they know the photos are only visible to the league's families and never to a search engine. Approve in one sitting after the pizza rather than during the game, and download the trophy photos at full resolution for the league website and next season's flyer, using only the ones the families in them are happy to see there. If a parent asks for a photo to come down, do it the same night; the trust that buys is worth more than any single shot.

Can one gallery cover the whole playoff bracket?
Yes. Create the season as a single event and add each playoff round as a sub-event: quarterfinals, semifinals and the final, or just the final if that is the only night you expect photos. The QR code is the same for every round, so the sign at the scorer's table does not change, and uploads are grouped by the game they came from. The league ends up with one link for the season, which is the one you put on the website and in the registration email for next year.
How do the players get the team photo?
Every parent and spouse who took a version of the team photo uploads it to the gallery, and every player opens the gallery and downloads the version they like at full resolution. There is no account to create and no picking one photographer's shot for everyone. Because the uploads are kept at original quality, the shot chosen for the plaque or the league website prints cleanly. The whole night can also be downloaded as one archive by the commissioner for the league's records.
It is a youth league. Who can see these photos?
Only people with the link or the code. The gallery is private by default, never listed anywhere, and guest pages are blocked from search engines and named AI crawlers. For a youth league we suggest turning on host review as well, so the commissioner approves each upload before any other family sees it, and telling parents that is how it works when you send the link. The gallery can be closed to uploads after the final and taken down whenever the league decides.
Do I need a new event each season?
Yes, and it keeps things tidy. Each season is its own event with its own code, its own sub-events for the playoff rounds and its own 365 days of hosting, so the spring league and the fall league do not share a gallery. Last season's link keeps working for its full hosting period, which is long enough to use the champions' photo in the next registration drive. Reusing a season's event for the next one would mix rosters and make the gallery harder for families to use.
