Nine Questions to Ask Before Buying a Wedding Photo App

Every QR-code wedding photo service looks the same on its homepage: scan, upload, done. The differences that matter show up in nine specific questions, and most of them are answered on the pricing page rather than the sales page.

Ask these before you buy, of us or anyone.

What is the upload cap, and does video count against it?

Caps range from 25 on free tiers to genuinely unlimited. GuestCam's Standard is unlimited at $49; Kululu's Plus allows 500 at $39; our Event Pass allows 2,000 at $29 (all read 23 August 2026 — GuestCam, Kululu).

Then ask whether a ten-second video counts as one upload or many. It is usually one, which makes video far better value than people expect.

How long is the gallery up, and is that the upload window or the storage window?

These are two different clocks. GuestCam Standard closes uploads at 6 months but stores for 12. Compare storage to storage, and diary your download for well before it.

Can you download full-resolution originals, in bulk?

This is the question most likely to produce an unpleasant surprise. Some services give you a ZIP of everything at original quality; some watermark or downscale unless you upgrade; some make you save images one at a time.

If the answer is not “yes, everything, one file, original quality”, find out exactly what the limit is before the wedding rather than after.

Do guests need an account or an app?

They should need neither. Test it yourself in a browser you have never signed into. Every step between the scan and the upload costs you photos, and it costs you the least technical guests first.

What happens to photos you do not want in the gallery?

Ask whether you can approve uploads before they appear, delete afterwards, and whether anything screens content automatically. If a live slideshow is going to be projected at the reception, approval-before-display stops being a nice-to-have.

Who can see the gallery?

Find out whether the link is private, whether it can be password protected, and whether it is indexed by search engines. A wedding gallery that turns up in a search for your names is a real risk, and the answer should be an explicit no.

What happens if uploads fail on the day?

Ask what the uploader does on weak signal — whether it retries, resumes, or gives up silently. Venue wifi is the most common reason photos go missing, and a service that queues and retries in the background will recover uploads that a naive one loses.

Then ask who you can actually reach on a Saturday evening.

Is the price a promotion, and what is the regular price?

Two of the tiers we priced were mid-promotion: Kululu's Plus at $39 against a listed regular price of $79, and Pro at $99 against $199. That is a real saving if you buy now, and a misleading comparison if you are weighing it against someone else's standard price.

Ask for the regular price and compare like with like.

What is the refund policy if the event is cancelled or it does not work?

Weddings move. Ask what happens if the date changes, and what happens if the service does not perform on the day. A policy you can read before buying is worth more than a promise on a feature list.

What should you do with the answers?

Weigh them against your actual wedding rather than a general idea of value. A 120-guest wedding where you will download promptly is a different purchase from a 250-guest wedding you want hosted for two years.
